Job Opportunity:

We are seeking a highly skilled and experienced Executive Assistant to support the Senior Vice President, Distribution at iA Financial Group.

The successful candidate will be responsible for:

  • Managing incoming and outgoing communications, ensuring timely and effective responses.
  • Coordinating the Senior Vice President's agenda and activities, prioritizing tasks and managing multiple projects simultaneously.
  • Preparing drafts of administrative communications, revising and correcting texts and presentations in English and French.
  • Organizing meetings and events, both logistically and technically.
  • Performing administrative tasks, including invoice management, contract administration, and expense reporting.
  • Planning business trips and ensuring seamless travel arrangements.
  • Managing digital documents and producing reports, ensuring accurate and timely information.
  • Anticipating the Senior Vice President's needs and developing tools to increase office efficiency.
  • Serving as a contact person for inquiries directed to the Senior Vice President's office.
  • Collaborating with other assistants to coordinate tasks and manage shared files.

Requirements:

  • Diploma in office automation techniques, business administration, or equivalent.
  • Minimum five years of experience in a senior assistant position, executive office management, or equivalent.
  • Excellent interpersonal, collaboration, and communication skills.
  • Strong organizational skills, with the ability to prioritize tasks and manage multiple projects.
  • Ability to work under pressure, meeting tight deadlines and competing priorities.
  • Advanced language skills in English and French, both oral and written.
  • Proven ability to adapt to changing demands and demonstrate high customer service standards.
  • Ability to work independently and as part of a team, with a strong focus on results and customer satisfaction.
  • Proficiency in Microsoft Suite programs, social media tools, and willingness to learn new technologies.
