Job Description:

We are seeking an experienced Administrative Assistant to provide administrative and logistical support to our Vice President. This is a temporary, hybrid position with a 35-hour workweek in Montréal.

Responsibilities:
  • Provide administrative support to the Vice President, including managing correspondence, scheduling, and travel arrangements
  • Manage communication, including writing letters, responding to inquiries, and following up on tasks
  • Prepare and edit documents, reports, and presentations
  • Coordinate meetings, events, and conferences
  • Translate documents as needed
  • Organize and maintain files, both physical and digital
  • Manage the Vice President's calendar and schedule
  • Prepare meeting materials, including agendas, minutes, and reports
  • Take minutes during meetings and other events
  • Assist with data entry and record-keeping
  • Manage the Vice President's email and correspondence
  • Ensure the smooth flow of information between team members
  • Perform other related tasks as needed
Requirements:
  • Diploma in Office Administration or equivalent
  • Minimum 3 years of experience in a similar role
  • Excellent written and verbal communication skills in French and English
  • Proficiency in Microsoft Office
