Job Description:We are seeking an experienced Administrative Assistant to provide administrative and logistical support to our Vice President. This is a temporary, hybrid position with a 35-hour workweek in Montréal.
Responsibilities:- Provide administrative support to the Vice President, including managing correspondence, scheduling, and travel arrangements
- Manage communication, including writing letters, responding to inquiries, and following up on tasks
- Prepare and edit documents, reports, and presentations
- Coordinate meetings, events, and conferences
- Translate documents as needed
- Organize and maintain files, both physical and digital
- Manage the Vice President's calendar and schedule
- Prepare meeting materials, including agendas, minutes, and reports
- Take minutes during meetings and other events
- Assist with data entry and record-keeping
- Manage the Vice President's email and correspondence
- Ensure the smooth flow of information between team members
- Perform other related tasks as needed
- Diploma in Office Administration or equivalent
- Minimum 3 years of experience in a similar role
- Excellent written and verbal communication skills in French and English
- Proficiency in Microsoft Office
