Program Facilitator - Special Projects Coordinator

Vancouver Division of Family Practice is seeking a highly skilled Program Facilitator to join our Special Projects Team. As a key member of our team, you will be responsible for facilitating committee projects and managing large-scale events to support primary care providers in the City of Vancouver.

Key Responsibilities:
  • Community/Stakeholder Collaboration and Engagement:
    • Support stakeholder consultation processes by organizing and facilitating meetings, focus groups, and surveys to gather input and feedback from community members and healthcare providers.
    • Maintain relationships with healthcare practitioners, ensuring effective communication and collaboration.
  • Event Management:
    • Coordinate large events, such as community roundtables, workshops, and forums, ensuring alignment with program objectives.
    • Facilitate logistical planning, including venue coordination, attendee communications, and event scheduling.
  • Survey and Program Support:
    • Distribute surveys and collect feedback, helping to organize and review data.
    • Assist the Program Director in tracking project progress, timelines, and budgets, and support the preparation of reports on results for stakeholders.
  • Administrative and Logistical Support:
    • Maintain confidentiality and ensure that all sensitive information is managed in accordance with data protection policies and organizational guidelines.
    • Support the Director of Special Projects in aligning project activities with organizational priorities.
  • Team Collaboration:
    • Assist other teams as needed to help achieve organizational objectives.
Requirements:
  • Bachelor's degree in health sciences, business administration, or a related field.
  • 2 years minimum related healthcare experience, particularly in primary care.
  • 3 years minimum facilitation and event planning experience.
  • Prior leadership experience would be an asset.
  • Exceptional written and verbal communication abilities.
  • Strong organizational and time-management skills, consistently meeting weekly and monthly deadlines.
  • Highly detail-oriented.
  • Flexibility to adjust to a dynamic work environment and willingness to work flexible hours, including evenings as required.
  • Strong interpersonal skills with the capacity to work alone or in a team as needed.
  • Demonstrates proactive, helpful, and can-do attitude.
