Key Responsibilities:- Schedule and confirm appointments with patients and healthcare providers
- Determine and establish office procedures and routines to ensure efficient operations
- Perform data entry and maintain accurate records
- Provide exceptional customer service to patients and clients
- Type and proofread correspondence, forms, and other documents
- Supervise office and volunteer staff, ensuring they are meeting their responsibilities
- Recruit and hire workers and carry out related staffing actions
- Plan, develop, and implement recruitment strategies to attract top talent
- Negotiate collective agreements on behalf of employers or workers
- Manage contracts and maintain digital databases
- Greet patients and direct them to contacts or service areas
- Consult with clients after sale to provide ongoing support
- Conduct performance reviews and assign, coordinate, and review projects and programs
- Work with minimal supervision and answer telephone and relay telephone calls and messages
- Answer electronic enquiries and compile data, statistics, and other information
- Liaise with management, union officials, and HR consultants
- Order office supplies and maintain inventory
- Record and prepare minutes of meetings, seminars, and conferences
- Work with the marketing department to understand and communicate marketing messages to the field
- Set up and maintain manual and computerized information filing systems
- Plan, organize, direct, control, and evaluate daily operations
- 1-2 years of experience in a medical administrative role
- College, CEGEP, or other non-university certificate or diploma from a program of 1-2 years
- Excellent oral and written communication skills
- Ability to work independently and as part of a team
- Flexibility and adaptability in a fast-paced environment
- Ability to multitask and prioritize tasks
