About the Role

The Waterfront Employers of British Columbia (WEBC) is seeking a highly skilled and experienced Executive Liaison and Administrative Support Specialist to join our team. This is a unique opportunity to work in a dynamic and fast-paced environment, supporting the General Manager, the WEBC Board, and the Trustees of the ILWU Employer Association Employee Life and Health Trust, Waterfront Foremen's Life & Health Trust, Waterfront Industry Pension Plan, and the Waterfront Foremen's Pension Plan.

Key Responsibilities
  • Serve as a pivotal resource and support to Union and Industry Trustees and the WEBC Board, facilitating smooth transaction of business;
  • Organize Board meetings, including preparation and distribution of materials, logistics, and documentation of actions and minutes;
  • Ensure accurate, secure, and effective document management for Trust records, accessible to all Trustees via a secure online portal;
  • Facilitate orientation for new Trustees and Directors;
  • Maintain and enhance governance methods, coordinate approval workflows, and ensure confidentiality of all documents and information;
  • Support with regulatory and policy compliance, and liaise with actuaries, auditors, investment managers & monitors, etc.
Senior Administrative Assistant & Executive Administration
  • Provide administrative support to the General Manager, Pension Administrator, and Benefits Manager;
  • Manage office supplies, invoices, and expense claims within budget;
  • Ensure proper maintenance and functioning of office machinery;
  • Assist in team onboarding and general administrative tasks;
  • Support Pension and benefits processes, handle correspondence;
  • Prepare presentations and reports for the office and Management Team;
  • Schedule meetings, prepare agendas, and attend meetings;
  • Coordinate administrative functions for the office, developing and implementing process improvements;
  • Other projects and duties as assigned.
Requirements
  • 57 Years of experience in an Administrative Assistant or Executive Assistant role, Office Management role, or equivalent education, training, and experience;
  • Diploma in commerce, business administration, or equivalent education and experience;
  • Significant experience in managing executive administration functions for a c-suite executive, executive team, and board;
  • Working knowledge of pensions and/or benefits is an asset;
  • Working towards or completion of CEBS designation is an asset;
  • Working towards or completion of Project management certification is an asset;
  • Ability to work full-time, five (5) days per week (8 hours per day) during regular business hours.
About Us

WEBC is a not-for-profit third-party administrator, responsible for supporting health & pension trusts and processing health and pension benefits for approximately 7000 active and retired Longshore and Foremen members and their dependents.

We believe in achieving long-term sustainable results by supporting and investing in our employees, offering a salary range of $64,000.00-$80,000.00 per year, depending on experience and qualifications.

In addition to this competitive compensation, we provide a comprehensive benefits package, ongoing education, and a generous pension.

This position is primarily situated within the WEBC office but is included within WEBC's hybrid work model, providing a limited opportunity to work remotely part-time.

For in-office work, we're located in Railtown, close to transit and just minutes away from Gastown and Chinatown. Parking is available in our designated lot for those who drive. Our office features beautiful exposed brick, modern workstations in an open environment.
