Position Overview

Reporting to the Associate Director of Community and Public Affairs, the Alumni Engagement Coordinator is tasked with the development and execution of strategic initiatives aimed at enhancing alumni engagement, fostering their participation, and supporting the mission and vision of North Island College.

The Alumni Engagement Coordinator plays a crucial role in nurturing robust connections between North Island College and its alumni network. This position encompasses a variety of coordination responsibilities, including the establishment and upkeep of alumni profiles and information, communication with alumni, community partners, corporate affinity partners, and vendors, as well as collaboration with NIC departments and colleagues in the development and execution of alumni programs, event planning, and related activities.

The Alumni Engagement Coordinator will also work in conjunction with the North Island College Foundation (NICF) where advantageous. Key Competencies

- Communication & Interpersonal Skills Key ResponsibilitiesFormulates and maintains policies, procedures, and reporting systems specific to NIC alumni relations.Conducts research, develops, edits, and oversees alumni correspondence, programming, events, and alumni feedback.Maintains alumni profiles and information, including all reports related to alumni engagement.Evaluates alumni programs and services; analyzes statistical data, documents, and reports findings.Plans alumni events with a collaborative, best practices approach, including event guidance, supplier communication, and reporting to the internal NIC community as needed.Coordinates and assists in the preparation and oversight of relevant budgets, contracts, sponsorships, grant proposals, project reports, and alumni benefit programs, adhering to all college-wide guidelines and policies, as well as external funding regulations.Develops and maintains operational procedures and protocols for alumni relations.Participates in team meetings, including alumni advisory bodies as necessary, providing various support from project leadership to record-keeping as required.Receives, evaluates, and directs inquiries and concerns from alumni, students, instructors, staff, and external parties across the division, collaborating with all institutional work groups as necessary.Maintains ongoing relationships with other post-secondary institutions, alumni associations, secondary schools, agencies, and community organizations.Stays informed and advises college colleagues on best practices in alumni relations.Liaises with local and regional industries, businesses, organizations, and other community stakeholders.Performs additional operational duties as assigned, with similar scope and complexity. Required Education & ExperienceA post-secondary degree in Communications, Project Management, or a related field is required.A minimum of two (2) years of experience in alumni relations, event planning, proposal writing, fundraising, or a related area, with a strong background in database maintenance and systems use; preferably within a post-secondary or non-profit context.An equivalent combination of experience and education may be considered. Required Knowledge, Skills & AbilitiesExceptional interpersonal, communication, organizational, and time management skills with the ability to plan and prioritize tasks effectively in a fast-paced, multi-tasking environment.Proven ability to analyze and interpret data, assess and resolve issues. Must be able to prioritize tasks and responsibilities while demonstrating initiative, addressing operational challenges, solving problems, and working independently.Ability to exercise sound judgment and make effective decisions, including consulting with the Executive Director as necessary.Ability to work autonomously, demonstrating initiative and the skill to prioritize work within general guidelines and with minimal supervision.Knowledge of and experience with public sector reporting, community and industry engagement, and membership-based organizations.Demonstrated basic experience with budget monitoring, management, and reporting functions.Intermediate proficiency with MS Office software, including Word and PowerPoint; advanced proficiency in Excel is required. This includes fast, accurate word processing skills and the ability to effectively integrate technology into workplace processes.Excellent written communication skills, with a thorough understanding of business English, grammar, and language, applied in an administrative context.Expertise in the development and maintenance of data management systems, including adherence to privacy and freedom of information legislation and guidelines.Ability to work as a collaborative, productive team member, with demonstrated experience in maintaining a high degree of confidentiality, professionalism, and cultural awareness/sensitivity.Knowledge of and experience with the following systems are considered assets: e-commerce and online merchant systems, Colleague student records system, and accounting software.This position may require occasional work outside of normal office hours.The successful candidate must possess a current Class 5 driver's license and have access to a vehicle, as travel will be necessary.Proven ability to work cooperatively as part of a team and exercise good judgment, tact, and diplomacy.Excellent research, presentation, written, and public speaking skills.
