Girl Guides of Canada is seeking a highly organized and detail-oriented Administrative Coordinator to support the Registration & Stakeholder Relations Team.
Key Responsibilities- Provide administrative support to the Chief Stakeholder Relations Officer, including communication flow, meeting management, document preparation, and task tracking.
- Seek out efficiencies to streamline processes and introduce consistency across the Registration & Stakeholder Relations team's administrative functions.
- Take initiative to complete action items assigned to the CSRO, including preparing draft content and compiling information for projects and meetings.
- Coordinate and support the creation of Registration & Stakeholder Relations bi-monthly meetings, agendas, and materials.
- Provide support to the coding and processing department with payables and gather content, format, and copy edit materials for newsletter submissions.
- Create and maintain electronic filing systems and SharePoint sites, and support the implementation of new technology and systems.
- Support recruitment, onboarding, and coordination of senior volunteers and committees that work with the Registration & Stakeholder Relations department.
- Liaise with other departments as required, working collaboratively to solve issues and develop ideas for process improvement.
- Foster and maintain strong internal client relations with staff and volunteers.
- Apply organizational policies regarding diversity, inclusivity, and equity to content, member communication, and customer service.
- Talent for administrative activities, including detail-oriented, organized, clear communication, and anticipating needs.
- Strong knowledge of MS Office suite and Office 365, with the ability to quickly learn new software.
- Outstanding initiative and passion for efficient operations while juggling a variety of tasks for various team goals.
- Highly organized with attention to detail.
- Collaboration skills with a knack for communicating clearly and diplomatically with staff and volunteers.
- A passion for getting things on track – organizing systems, overseeing processes, and making things easy for team members.
