Job Summary:
As a Client Service Administrator, you will work directly with Surgery staff, other hospital departments, clients, and referring veterinary offices as a vital team member in the heart of the surgical department. The principal goal of this position is to optimize patient care through a coordinated communication experience before, during, and after all appointments, diagnostics, and procedures.
Key Responsibilities:
- Process referrals for the surgery department, scheduling initial consultations and follow-up appointments as needed.
- Communicate with clients to confirm appointment times and ensure hospital protocols are understood prior to presentation for consultation, surgery, or other procedures.
- Ensure outside medical records and diagnostics are available prior to initial consultation.
- Formulate estimates for diagnostic evaluations, surgical procedures, and other non-surgical follow-up evaluations and procedures.
- Review estimates and general peri-operative/diagnostic expectations with clients.
- Provide clients with payment and financing options, reviewing third-party financing as required.
- Print and complete discharge consultations, ensuring all patient belongings and medications are provided.
- Follow up with clients 24-72 hours post-discharge for all surgical patients.
- Initial callbacks to concerned clients to understand relevant information, directing further communication to the technician or surgeon as needed.
- Review and address emails and communication tasks, directing them to the appropriate service as required.
- Monitor and direct laboratory and radiographic reports to the appropriate service.
- Answer incoming calls from clients and referring veterinarians to the surgery department.
