Position Overview

We are seeking a proactive and detail-oriented individual to join our team as a Contract Administrator. In this role, you will be essential in supporting our sales and operational functions through various administrative responsibilities. Your primary focus will be on the preparation and management of contracts, ensuring effective communication of updates, and collaborating with our sales team while overseeing our contract databases.

Key Responsibilities:

  1. Maintain organized and comprehensive files, ensuring all correspondence and corporate records are meticulously tracked and retained.
  2. Develop and maintain an audit file for each contract, which includes the original document, all related correspondence, amendments, and payment schedules.
  3. Collaborate with multiple departments to secure complete and executed contracts.
  4. Serve as a technical resource for contracts, providing accurate and timely information to both internal and external stakeholders.
  5. Monitor contract expiration dates and proactively notify contract owners of upcoming deadlines.
  6. Ensure accurate electronic records of all contractual information are maintained.
  7. Address and resolve concerns raised by stakeholders, providing constructive feedback and solutions within acceptable timeframes.
  8. Perform additional duties as required.

Qualifications:

  1. Education: High School diploma with a minimum of three years of relevant experience or an equivalent combination of education and experience.
  2. Experience: 1-3 years in contract administration.
  3. Skills: Proficient in Microsoft Word, PowerPoint, and Excel, including the use of formulas and pivot tables.
  4. Attributes: A self-motivated individual with strong interpersonal skills and a collaborative approach, capable of engaging professionally with various partners.
  5. Communication: Excellent verbal and written communication skills, with the ability to produce routine reports and effectively convey information over the phone.
  6. Technical Knowledge: Familiarity with AS400 Computer System, Rockwell SAP, and CRM SalesForce is advantageous.
  7. Industry Knowledge: Understanding of electrical supply products is a plus.
  8. Organizational Skills: Exceptional organizational abilities.
