Job Summary

We are seeking a highly organized and detail-oriented Co-op and Student Employment Assistant to join our team at Camosun College. As a key member of our Co-op Education & Student Employment team, you will provide administrative, organizational, and customer service support to students, employers, and the College community.

Key Responsibilities
  • Provide front-line services to external and internal clients, including acting as a liaison within the department and between schools and other departments;
  • Ensure the dissemination of information related to the work term process by communicating and interacting with students, employers, and the College community to meet program needs;
  • Respond to and process a wide variety of enquiries received both in-person and via phone, fax, and email, requiring a good understanding of CESE policy and procedures;
  • Review transcripts to ensure student eligibility;
  • Assist students with various employment processes and documentation;
  • Assemble and collate students' applications at closing of job postings, checking for accuracy and completeness, and submit packages to employers;
  • Assist with the coordination of departmental events such as orientation, career fairs, and other departmental events as needed;
  • Assist students, graduates, and alumni by directing them to College and departmental resources for work search skills and job postings;
Administrative Support
  • Enter, retrieve, and compile data in the departmental database, and monitor its accuracy and currency, which may involve keeping several inter-related records and cross-checking;
  • Ensure the dissemination of relevant information to appropriate department/College personnel throughout the year, both electronically and in print;
  • Provide administrative support and coordination for recurring departmental activities such as information sessions, mock interviews, etc., and for other departmental projects and initiatives as required;
  • Perform clerical duties such as keyboarding, basic editing, photocopying, arranging meetings, mail distribution, phoning, etc.;
  • Establish timelines and priorities for tasks;
  • Compose replies to correspondence;
  • Maintain security of sensitive and confidential documents and files;
  • Produce and complete forms and templates for administrative procedures, including proofing, formatting, and correcting of documents;
  • Make appointments and schedule departmental events and activities;
  • Attend meetings and take minutes;
  • Establish and maintain files pertaining to the departments concerned;
Requirements
  • Grade 12 plus secretarial certificate and two years of prior office experience or an equivalent combination of education and experience;
  • Advanced keyboarding skills essential (60 wpm);
  • Advanced knowledge of word-processing, spreadsheet, and database applications (presently XP, Excel, MS Office, Outlook, and Internet);
  • Must have exceptional customer service skills and relate well to the public, students, employers, and the College community;
  • Excellent oral and written communication, interpersonal, and organizational skills;
  • Demonstrated ability to work independently, deal effectively with non-routine matters, and coordinate numerous activities with initiative and discretion;
