About the Role

We are seeking a highly organized and detail-oriented Pharmacy Administrative Assistant to join our team at Innomar Strategies. As a key member of our pharmacy operations team, you will play a critical role in ensuring the smooth day-to-day functioning of our pharmacy operations.

Key Responsibilities
  • Scan prescriptions into our pharmacy software system, maintaining accurate and up-to-date records.
  • Create and maintain numerical prescription files and storage, adhering to strict confidentiality and security protocols.
  • Replenish and reorder pharmacy and office supplies, ensuring timely delivery and minimizing stockouts.
  • Prepare and process billings, claims, disbursements, and related documents, ensuring accuracy and compliance with regulatory requirements.
  • Answer incoming calls and direct them to the appropriate team member, providing exceptional customer service and support.
  • Assist in maintaining pharmacy and sterile room cleanliness, adhering to strict health and safety protocols.
  • Handle incoming and outgoing mail, including inter-office correspondence, in a timely and efficient manner.
  • Retrieve prescription hardcopies as required for audit purposes, maintaining accurate and up-to-date records.
  • Create and maintain files for invoices, packing slips, and other documentation, ensuring accuracy and compliance with regulatory requirements.
  • Assist patients in picking up prescriptions, providing exceptional customer service and support.
  • Process credit card payments using online software and/or hardware, ensuring accuracy and security.
  • Liaise with courier representatives to track packages and resolve delivery issues, ensuring timely delivery and minimizing delays.
  • Create shipping waybills using courier software systems, ensuring accuracy and compliance with regulatory requirements.
  • Select, assemble, and pack the correct shipping container for a given drug product, adhering to strict health and safety protocols.
  • Liaise with warehouse personnel to replenish shipping supplies, ensuring timely delivery and minimizing stockouts.
  • Assist couriers with outgoing deliveries to ensure all deliveries are picked up, maintaining accurate and up-to-date records.
Requirements
  • High School Diploma or equivalent experience.
  • Proficiency in Kroll an asset.
  • Working knowledge of pharmacy operations, with previous pharmacy experience an asset.
  • 1-2 years administrative experience an asset.
  • Organized with the ability to multi-task and shift priorities with ease.
  • Strong tendency for attention to detail and a high degree of accuracy.
  • Strong proficiency in Microsoft applications (Outlook, Word, Excel).
  • Able to work under pressure in a fast-paced environment.
  • Excellent customer service and interpersonal skills.
  • Ability to work independently and in a team environment.
  • Ability to communicate effectively both orally and in writing.
  • Excellent organizational and time-management skills.
  • Ability to consistently meet deadlines and handle competing requests.
  • Ability to solve problems effectively and efficiently.
  • Ability to deal with stressful situations as they arise.
  • As part of your job duties, you may be required to lift up to 50 lbs.
  • Associate may be exposed to cold environments up to 20% of the day.
