Position Overview

The role of the Office Administrative Assistant at Anton Dharmaseelan Mortgage Agent is essential for ensuring smooth office operations and effective communication within the team.

Key Responsibilities
  • Facilitate the flow of information among team members.
  • Oversee and manage daily office operations.
  • Assess and enhance daily operational efficiency.
  • Handle incoming mail and other communications.
  • Develop and monitor budgets and financial expenditures.
  • Organize and streamline daily tasks and responsibilities.
  • Supervise and mentor other staff members.
  • Provide training and support to new employees.
  • Document and prepare minutes for meetings and conferences.
  • Establish and implement office procedures and routines.
  • Schedule and confirm appointments for staff and clients.
  • Manage contracts and agreements.
  • Answer phone calls and relay messages effectively.
  • Respond to electronic inquiries in a timely manner.
  • Compile and analyze data and statistics.
  • Oversee the preparation of various reports.
  • Address employee inquiries and concerns.
  • Order and maintain office supplies and inventory.
  • Coordinate travel arrangements and itineraries.
  • Welcome visitors and direct them to appropriate contacts.
  • Set up and maintain both manual and digital filing systems.
  • Type and proofread various documents and correspondence.
  • Conduct research as needed.
  • Perform data entry tasks accurately.
  • Deliver exceptional customer service.
  • Collaborate with the marketing department to convey messages effectively.
  • Maintain and manage the digital database.
  • Consult with clients post-sale to ensure ongoing support.
