Position Overview

The Unit Secretary for the Telemetry Unit plays a crucial role in delivering administrative, secretarial, and receptionist support in a professional and confidential manner. This position requires strong communication skills, critical thinking, and the ability to prioritize tasks effectively in a dynamic and often high-pressure environment. The Unit Secretary contributes to our academic mission by supporting teaching and research initiatives, while also ensuring compliance with health and safety protocols to maintain a secure environment for all.

Key Responsibilities

  • Adhere to hospital policies and procedures.
  • Act as a liaison for patients and families, utilizing customer service principles to manage inquiries and registrations.
  • Coordinate interdepartmental activities, including patient transportation, appointment scheduling, and discharge processes.
  • Manage incoming communications, including screening calls and relaying messages for healthcare professionals.
  • Identify and escalate issues to the Clinical Team Manager promptly.
  • Compile and distribute materials related to program activities.
  • Maintain attendance records and manage payroll inputs, ensuring accurate tracking of nursing resources.
  • Process provider orders and notify relevant staff as necessary.
  • Assist clinicians with scheduling and follow-up appointments.
  • Handle requisitions and maintain documentation for medical tests and appointments.
  • Organize patient admissions, discharges, and medication information, ensuring accurate electronic records.
  • Prepare reports and manage office supplies efficiently.

Qualifications

  • Ontario Secondary School Diploma (OSSD) or equivalent.
  • Medical office assistant certification or at least one year of relevant experience in a medical setting.
  • Familiarity with medical terminology and proficiency in medical transcription.
  • Experience with payroll and scheduling systems.
  • Commitment to patient-centered care.
  • Typing speed of at least 45 words per minute.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Experience in a fast-paced customer service environment.
  • Previous experience in an inpatient unit is preferred.
  • Bilingualism in French and English is an asset.
