Position Overview
Unit Secretary for Neonatal Intensive Care and Pediatric Services
In this role, you will be responsible for delivering comprehensive administrative, secretarial, and reception support in a professional and confidential manner. Your strong communication skills, critical thinking abilities, and adeptness at managing multiple priorities in a fast-paced environment will be essential. This position plays a vital role in upholding health and safety protocols, ensuring a secure environment for patients, staff, and visitors.
Key Responsibilities
- Adhere to hospital policies and procedures consistently.
- Facilitate communication among staff, patients, families, and external parties.
- Coordinate interdepartmental activities, including patient transportation for tests and appointment scheduling.
- Manage incoming calls and inquiries, triaging them effectively.
- Collaborate with the Clinical Team Manager to address urgent issues and concerns.
- Register patients and verify their identification accurately.
- Handle confidential information with the utmost sensitivity.
- Maintain attendance records and arrange relief staffing as needed.
- Process computer orders and notify relevant staff and departments.
- Assist clinicians with scheduling and follow-up appointments.
- Manage requisitions and documentation for medical tests and follow-ups.
- Organize admissions, discharges, and medication information efficiently.
- Prepare reports, statistics, and discharge instructions as required.
- Oversee the ordering and organization of unit supplies and services.
- Employ patient-centered communication strategies with all stakeholders.
Qualifications
- Ontario Secondary School Diploma (OSSD) or equivalent.
- Medical office assistant certification or at least one year of relevant medical office experience.
- Minimum typing speed of 45 words per minute.
- Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
- Experience in a fast-paced public-facing role.
- One year of pediatric experience in an acute care hospital setting.
- Bilingual proficiency in French and English is an asset.

This position is part-time, with shifts varying between 8 and 12 hours, including days, evenings, and weekends within the Neonatal Intensive Care and Pediatric Services.
