Position Overview:
As an Estate and Trust Operations Coordinator, you will play a pivotal role in supporting Estate & Trust Consultants (ETCs) in their efforts to enhance business development and advisor collaboration across various regions. Your focus will be on delivering exceptional client service, ensuring quality control, and optimizing operational processes.

Key Responsibilities:
- Provide comprehensive support to ETCs, primarily dedicated to specific consultants while also collaborating with a team to assist across multiple regions as needed.
- Facilitate ETC prospecting and manage the sales pipeline effectively. This includes capturing and tracking new opportunities in Salesforce, generating reports, and coordinating with planning teams and Total Wealth Managers (TWMs) to provide necessary data for integrating estate and trust planning into comprehensive wealth proposals.

- Prepare files (both digital and paper) for client discovery meetings, which may involve requesting the completion of the Estate Planning Questionnaire, gathering existing planning documents, and summarizing current financial holdings and beneficiary designations. Additionally, prepare all required new business documentation, including fee agreements and account opening forms.

- Ensure quality assurance support for ETCs, assisting them in submitting new business accurately and on time, while also providing immediate fee reporting assistance.

- Assist ETCs in organizing seminars and webinars, including participant registration, logistics management, and liaising with presenters, while directing advisors to available internal marketing resources.

- Offer administrative support to ETCs as required, which may include facilitating digital business processes, managing mail and courier services, coordinating meetings, and assisting with travel arrangements.

- Promote a customer-centric culture to strengthen client relationships and leverage broader banking relationships, systems, and knowledge.

- Understand and incorporate the Bank's risk appetite and culture into daily activities and decision-making processes.

- Strive for operational efficiency in alignment with Scotiabank's Values, Code of Conduct, and Global Sales Principles, ensuring compliance with operational, AML/ATF/sanctions, and conduct risk obligations.

- Foster a high-performance and inclusive work environment.

Qualifications:
- Directly support a small group of ETCs in a region with a diverse range of advisors across various business lines, while engaging with numerous specialists integrating estate and trust solutions into their practices.

- Proficiency in Outlook, MS Word, Excel, PowerPoint, and Salesforce is essential.
- Familiarity with the Estate & Trust and wealth management sectors is advantageous.
- Industry accreditation, such as a Certificate in Estate and Trust Administration, is a plus.
- Knowledge of legal documents, including Wills, Trust Deeds, and Powers of Attorney, is beneficial.
- Bilingualism (English-French) is an asset.
- A keen attention to detail and strong follow-through capabilities are required.
