About the Role

We are seeking a highly skilled and experienced Senior Estate Specialist to join our team at ClearEstate. As a key member of our Professional Executor Solutions team, you will be responsible for managing professional estate, trust, and Power of Attorney files, providing fiduciary services for our trust partner.

Key Responsibilities
  • Manage Estate Files: Oversee the administration of professional estate, trust, and Power of Attorney files, ensuring timely and accurate completion of tasks and deadlines.
  • Support Estate Administration: Provide support to all aspects of estate administration, including asset discovery, document management, and quality control.
  • Collaborate with Customer Success Managers: Work closely with our Customer Success Managers to manage relationships and communications with families and beneficiaries.
  • Assign Tasks: Assign tasks to our Junior Estate Professional team as needed to support your work.
  • Liaise with Trust Partner: Liaise with our trust partner to ensure prompt attention to account needs.
  • Document and Make Recommendations: Document and make recommendations for discretionary decisions in accordance with governing documents, applicable legislation, and sound reason.
  • Communicate with External Professionals: Act as a point of contact with external professionals, including notaries, lawyers, tax accountants, and other third parties.
  • Perform Research: Perform research as needed to support estate and trust administration.
  • Collaborate with Team: Collaborate with your team to assist with client requests and other related tasks.
  • Maintain Knowledge: Maintain a deep understanding of current estate and trust-related strategies and processes.
  • Advise ClearEstate: Advise ClearEstate on proposed and implemented changes to relevant legislation and regulations.
  • Field Estate and Trust Questions: Field estate and trust questions and provide training and support to ClearEstate staff.
  • Participate in Presentations: Participate in and deliver presentations externally, representing ClearEstate's subject matter expertise.
  • Provide Feedback: Provide feedback and test functionality for our Product team to develop our platform.
  • Create Templates: Create and use templates for communicating with various stakeholders.

  • Research Abilities: Confident in research abilities and ability to analyze complex information.
  • Communication Skills: Excellent communication and interpersonal skills.
  • Independence: Ability to work independently with minimal supervision.
  • Technology Knowledge: Passionate about technology and estate administration.
  • Wills and Estates Knowledge: Knowledgeable in the wills and estates area.
  • STEP Certification: STEP certification in Estates and Trust administration is an asset.
  • Customer-Centric: Customer-centric with a positive attitude.
  • Collaborative: Collaborative and empathetic team player.
  • Bilingual: Bilingual an asset.
