Job Summary

We are seeking an experienced Administrative Assistant to join our Calgary office. As a key member of our team, you will provide administrative support to our operations, ensuring seamless day-to-day activities and contributing to the success of our renewable energy projects.

Key Responsibilities

  • Manage and execute general administrative tasks, including procurement, expenses, and office organization
  • Take on ad hoc projects, such as insurance administration, policy documentation, and filing
  • Act as the first point of contact for our office, handling phone calls and correspondence
  • Organize and file documents, including internal and external reports, insurance, and annual filings
  • Support the development and implementation of internal team processes
  • Prepare documents for meetings and business trips, including expense reporting and travel arrangements
  • Process and direct incoming packages and deliveries, and prepare documents for project mail outs
  • Collect documentation from new hires, set up employee profiles, and procure equipment in cooperation with IT
  • Take care of documentation, insurance, maintenance, washing, and repairs of company vehicles
  • Assist the Accounting and Project Team departments with organizing paperwork, including scanning, filing, and saving digital copies

Requirements

  • 2-5 years of experience in managing diverse tasks and working in an interdisciplinary team
  • Strong organizational skills to manage multiple deadlines and projects concurrently
  • Experience in the electricity, energy development, or renewables industry is an asset
  • Fluency in English, French, or German is an asset
  • Technical editing or formatting skills are a plus
  • Dedication and enthusiasm towards renewable energy are assets
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook)
  • Ability to perform interdisciplinary work, solve problems, and manage priorities, working independently and as part of an international team
