Position Overview

The Administrative Support Specialist will play a vital role in providing exceptional administrative and organizational assistance to the Rehabilitation Services Team. This position is essential for ensuring smooth operations within the department.

Key Responsibilities
  • Engage with patients, families, staff, and stakeholders in a professional and courteous manner.
  • Prepare and manage correspondence, including drafting letters and transcribing reports.
  • Handle telephone and email inquiries, ensuring accurate message relay and follow-up.
  • Organize and maintain patient records and office filing systems for efficient retrieval.
  • Coordinate and schedule appointments for the Rehabilitation Services Team, including managing appointment letters and follow-ups.
  • Share administrative responsibilities with fellow team members to ensure coverage.
  • Plan and coordinate meetings and events for the Rehabilitation Services Team, including logistics and equipment needs.
  • Attend meetings, taking minutes and distributing them as required.
  • Maintain and manage patient databases, ensuring accurate data entry.
  • Provide support to other administrative staff as needed.
Work Schedule

The work schedule will be Monday to Friday, with specific days and hours to be determined.

Qualifications
  • High School Diploma or G.E.D. is required.
  • Completion of a recognized Secretarial or Office Administration Diploma Program is necessary.
  • A minimum of six months of relevant administrative experience is required; one year is preferred.
  • Proficiency in Microsoft Office and other relevant software is essential.
  • Keyboarding skills of at least 40 words per minute are required; 60 words per minute is preferred.
  • Strong analytical skills and the ability to exercise good judgment in decision-making.
  • Confidentiality and discretion are critical.
  • Experience in preparing presentations and reports is advantageous.
  • Excellent verbal and written communication skills are required.
  • Self-motivated with the ability to work independently and collaboratively.
  • Strong organizational and time management skills are essential.
  • Experience with medical terminology is a plus.
  • Competencies in additional languages are beneficial.
