Administration Team Leader - Healthcare Sector

EightSix Network is dedicated to delivering outstanding healthcare solutions to the community. This dynamic clinic provides a variety of medical services through a team of committed professionals. We are seeking a proactive and seasoned Healthcare Clinic Leader who possesses a collaborative approach to leadership, prioritizes customer satisfaction, and ensures the smooth and effective functioning of a bustling multi-location clinic. The ideal candidate will have a robust background in healthcare administrative management, exceptional organizational capabilities, and a proven track record in managing and guiding an administrative team.

Key Responsibilities:

  • Oversee the daily operations of the healthcare facility
  • Manage and lead administrative personnel, including recruitment, training, performance assessments, and scheduling
  • Foster and maintain a positive work atmosphere, ensuring high levels of organizational efficiency, communication, and safety
  • Possess comprehensive knowledge of Clinicmaster, healthcare systems, and MS Office Suite
  • Evaluate and enhance clinic processes for improved efficiency and effectiveness
  • Plan and execute office systems, procedures, procurement, and policies
  • Maintain clinic facilities and equipment
  • Ensure adherence to clinic protocols, processes, and procedures
  • Assist the Clinic Director with scheduling for the medical professional team
  • Oversee the management of client files, including third-party insurers
  • Supervise the scheduling and billing processes for all client files and third-party payers
  • Responsible for the reconciliation of all client files
  • Manage Accounts Payable/Receivables, staff payroll, and monthly bill reconciliation in collaboration with the bookkeeper
  • Build and maintain relationships with vendors
  • Assist with website enhancements and digital marketing initiatives
  • Report directly to the Clinic Director

Qualifications:

  • Bachelor's degree in Healthcare Administration, Business Administration, or equivalent experience
  • Minimum of five years of experience in healthcare management, preferably in a clinic environment
  • Strong understanding of healthcare regulations and standards
  • Proficiency in healthcare management software, including Clinicmaster, MS Office, Excel, and Outlook
  • Experience with third-party billing and insurers
  • Excellent leadership and team management abilities
  • Proven capacity to cultivate a positive workplace culture
  • Experience in scheduling
  • Strong organizational and problem-solving skills
  • Exceptional communication and interpersonal abilities
  • Ability to manage multiple tasks and priorities in a fast-paced setting
  • Knowledge of marketing, web management, and digital campaigns is a plus
