Medical Imaging Department Supervisor

We are seeking a highly skilled and experienced Clerical Supervisor to join our Medical Imaging Department at Fraser Health. As a key member of our team, you will be responsible for providing direction and supervision to clerical staff, coordinating the clerical workflow, and performing related administrative duties.
Key Responsibilities- Supervise and direct clerical staff, determining priorities, establishing work schedules, and reviewing work assignments and daily routines.
- Coordinate and arrange for relief staff, as required, and participate in the selection of new staff by administering postings, interviewing applicants, and making recommendations for selection.
- Oversee orientation and training requirements, conduct performance evaluations, and assess ongoing staff education needs.
- Develop, implement, and update written procedures to meet the needs and requirements of the Medical Imaging Department.
- Contribute to quality improvement by developing standards, conducting audits of clerical processes, and compiling statistical data as required.
- Act as a resource for issues related to office equipment, HIS/RIS/PACS, and other computer programs/systems by resolving minor problems, reporting unresolved problems, and arranging for service.
- Provide input to system upgrade requirements and maintain supplies and equipment by monitoring inventory levels, preparing requisitions, obtaining required approvals, and recording receipts.
- Initiate and record office equipment maintenance/repair and responsible for timekeeping/payroll records and submission to payroll according to established procedures.
- Monitor department expenditures and advise Manager of discrepancies.
- Provide clerical liaison with radiologists, supervisors, staff, physicians, external agencies, and other healthcare personnel/hospitals.
- Schedule and adjust patient appointments, liaise with nursing units, physician's offices, and patients regarding patient information, records, etc.
- Participate in/assist to develop and maintain a safe and healthy work environment by following Health and Safety standards and practices.
- Schedule and lead clerical staff meetings and attend other departmental meetings, as required.
- Arrange meetings, type and circulate minutes, medical reports, etc., and perform word processing support for Medical Imaging as appropriate.
Grade 12, successful completion of a recognized Medical Office Assistant program, and three years' recent related experience, including one year in a supervisory capacity or an equivalent combination of education, training, and experience.
Ability to keyboard at 45 w.p.m., knowledge of medical terminology, ability to supervise, organize work, communicate effectively, deal effectively with others, operate related equipment, and perform the duties of the position.
