Position Overview:

As a vital member of our administrative team, you will play a crucial role in enhancing clinic operations. Your responsibilities will include managing patient check-ins through our electronic system to streamline clinic processes. You will also be tasked with scheduling outpatient appointments for various diagnostic tests, including EMG, EEG, and Evoked Potentials, utilizing both phone and written communication.

Key Responsibilities:

  1. Coordinate physician schedules from diverse sources to ensure optimal clinic operations.
  2. Develop and maintain scheduling templates within our electronic booking system.
  3. Review incoming referrals for precision and completeness, contacting referring offices as necessary to gather any missing details.
  4. Process referrals post-triage and allocate them to the appropriate physician or service within our scheduling systems.
  5. Collaborate with clinic management to keep patient schedules up-to-date and efficient, providing insights on workflow challenges.
  6. Schedule patients for various outpatient services, including specialized EMG tests and independent medical assessments.
  7. Communicate with referring physicians regarding waitlist updates, appointment confirmations, and cancellations as per established protocols.
  8. Handle incoming calls, providing general information and addressing departmental inquiries, while redirecting calls as needed.
  9. Serve as a knowledgeable resource for both physicians' offices and patients regarding testing procedures and necessary preparations.

Qualifications:

To excel in this role, candidates should possess advanced administrative skills and specialized knowledge to effectively support complex departmental functions.

Required Qualifications:

Completion of Grade 12 or equivalent education is essential.

Additional Required Qualifications:

Successful completion of a formal Medical Office Assistant or Unit Clerk program is necessary. The ideal candidate will demonstrate flexibility in assisting across multiple healthcare facilities.
