This position is with our Good Shepherd - Assisted Living/Personal Support Services


Reporting to the Director of Seniors Support Services, the Scheduler plays a crucial role in enhancing the dignity and quality of life for our clients, visitors, and staff. This involves assisting the Director and Staff of the Good Shepherd Centres with the scheduling of personnel to ensure client care and staff work schedules are met. Responsibilities include covering staff shifts due to illness, absences, vacations, or other needs, while maintaining accurate statistical information related to client care hours and staff work hours for reporting to funders.

Your Impact

Develop, coordinate, and sustain daily and monthly schedules for Seniors Program Staff, ensuring that both long-term and immediate changes are managed accurately and promptly.Maintain a comprehensive database of all staff and verify worked hours using payroll software (ADP).Facilitate communication among Staff, Clinical Supervisors, Managers, Program Coordinators, and community partners.Adhere to PHIPA and Good Shepherd Centres guidelines regarding access to and sharing of personal health information of clients.Maintain continuous communication with designated Seniors Support Services supervisors regarding client care processes, staffing patterns, themes, and challenges.Collaborate with the Director to maintain essential records, reports, and statistics necessary for program operations, evaluation, and audits.Contribute to ongoing monitoring and assessment of program effectiveness.Complete and submit bi-weekly timesheets for hours worked.Assist with clerical tasks such as filing, data retrieval, report generation, and ensuring timely upload and accuracy of client information in EMHWare.Perform additional duties related to the Ministries of the Good Shepherd Centres as directed by the Director or designate.

Qualifications

Completion of an Office Administration or Medical Secretary program at the community college level.Experience in client and staff scheduling; community-based experience is an asset.Demonstrated commitment to the mission and values of Responsibility, Availability, Hospitality, Adaptability, Quality, and Dignity.Proven ability to interact effectively with older adults, their caregivers, and other healthcare professionals.Good understanding of the Hamilton health system, including Homecare, is an asset.Experience in registration, documentation, and scheduling within a medical environment.Proven ability to work with patients facing barriers to accessing healthcare.Advanced skills in database entry and management, as well as statistical collection; preference will be given to candidates with experience in Excel, ADP, Vocantis, and patient care scheduling software.CPR/First Aid certification and WHMIS training are assets.Demonstrated adaptability in a fast-paced and changing work environment, as well as in a team setting.Creativity and flexibility in achieving desired outcomes.Hospitality in interactions with clients, the public, volunteers, staff, and other key stakeholders.Availability and responsiveness to the needs of others.Respectful and compassionate demeanor.Excellent verbal and written communication skills; experience in a second language is an asset.Adhere to all health and safety regulations and work in compliance with the provisions of the Occupational Health and Safety Act and its regulations.
