Conference Services Coordinator

We are seeking a highly organized and detail-oriented Conference Services Coordinator to join our team at Accor Hotel. As a key member of our events team, you will be responsible for ensuring the smooth execution of conferences, meetings, and events.
Key Responsibilities- Work closely with Conference Services Managers to ensure a comprehensive knowledge of client files and respond to client needs.
- Provide key departments with information on upcoming events on a daily basis.
- Conduct site inspections of rooms, conference space, and F&B outlets as requested.
- Liaise closely with Front Office Reservations and Housekeeping to ensure pertinent guest arrival details are communicated.
- Oversee clients while in-house, ensuring their events go as expected and anticipating their needs.
- Organize all in-house hotel functions.
- Responsible for preparing and distributing the Function Sheets on a daily basis, including last-minute changes to affected departments.
- Administrative duties such as preparing vouchers for F&B outlets, printing daily signage, preparing weekly minutes, preparing VIP Amenity Forms and cards.
- Timely execution of correspondence, including confirmation letters, intro letters, resumes, thank you letters, proposals, catering contracts, event orders, and billing.
- Proven ability to plan and organize events effectively with an acute sense of detail.
- Hospitality diploma or degree is an asset.
- Working knowledge of Opera Cloud, MS Office, Social Tables.
- Previous Conference Service Coordinator or Food & Beverage experience is an asset.
