Overview

The Payroll Specialist plays a crucial role in delivering exceptional service to both internal and external stakeholders. Utilizing their expertise in payroll legislation and institutional policies, they ensure that all employees and payees receive their compensation accurately and punctually. The diverse nature of payroll within the university setting necessitates a comprehensive understanding of various employment situations, earnings classifications, and tax obligations, along with the ability to exercise professional judgment.

Key Responsibilities

  • Precisely calculate, input, and review payroll-related data in the payroll system.
  • Examine payroll submissions for accuracy and adherence to legal requirements and institutional policies.
  • Collaborate with HR and campus departments to resolve incomplete or non-compliant data.
  • Validate retroactive earnings and deductions, ensuring accurate calculations for eligible employees on leave.
  • Input payroll information including deductions, additional pay items, and adjustments as necessary.
  • Review and reconcile bi-weekly and monthly payrolls to confirm the accuracy of employee compensation before processing.
  • Coordinate with the payroll team to execute payroll calculations and generate audit reports.
  • Assess earnings, deductions, and tax data against supporting documentation for verification.
  • Make necessary corrections in the payroll system or liaise with HR for adjustments.
  • Manage outgoing interfaces and distribute reports post-payroll processing.
  • Organize and maintain payroll documentation for compliance and audit purposes.
  • Facilitate off-cycle payments or adjustments as required.
  • Oversee the complete payroll process in collaboration with the Assistant Payroll Manager, adhering to strict timelines.
  • Execute all necessary processes in the payroll system to ensure data entry and confirmation.
  • Coordinate the production and distribution of pay advices and remittance reports.
  • Transmit electronic files to financial institutions and address any discrepancies.
  • Engage with internal and external customers through various communication channels.
  • Respond to inquiries promptly, providing accurate information and guidance.
  • Communicate payroll policies and procedures clearly to customers.
  • Assist users with payroll self-service features and time tracking data entry.
  • Handle sensitive information with confidentiality and professionalism.
  • Collaborate with senior team members for complex issues.

Additional Duties

  • Prepare requests for government remittances and other deductions.
  • Process payroll reversals and adjustments to maintain accurate records.
  • Assist with year-end adjustments and respond to related inquiries.
  • Participate in audits, providing necessary documentation and insights.
  • Contribute to the development of standard operating procedures.
  • Support the training of new team members and interns.
  • Identify opportunities for process improvements in payroll operations.
  • Engage in special projects as assigned.

Qualifications

  • Completion of a post-secondary program in business accounting or a related field.
  • Progress towards Canadian Payroll Association Payroll Compliance Practitioner certification is preferred.
  • 2-5 years of relevant payroll experience in a dynamic environment.
  • Familiarity with Canadian tax regulations and employment standards.
  • Strong customer service and communication skills.
  • Ability to work collaboratively within a team.
  • Attention to detail and strong analytical skills.
  • Proficiency in payroll systems and Microsoft Office applications.
