Position OverviewJoin Vancouver Coastal Health (VCH) as a Program Administrative Assistant. We are seeking a dedicated Program Administrative Assistant to support the Overdose Outreach team in the Downtown Eastside area of Vancouver, BC. Become a vital part of our team.
Key Responsibilities:
- Deliver administrative assistance and program support for Addictions and/or HIV/AIDS Services.
- Serve as the front desk representative, managing client appointments, maintaining client records, and handling laboratory report distribution.
- Conduct word processing and transcription tasks, including:
- organizing and documenting meeting minutes,
- compiling and maintaining statistical data,
- assisting with research initiatives and special projects,
- establishing and managing both electronic and physical filing systems,
- and processing incoming and outgoing materials.
ABOUT THE OVERDOSE OUTREACH TEAM:
Our outreach team, consisting of social workers and peer support specialists, connects individuals who have recently experienced opioid overdose or are at high risk for overdose with essential substance use care and support services.
QualificationsEducation & Experience
- Completion of Grade 12, complemented by an accredited Medical Office Assistant/Secretarial program, along with three (3) years of recent relevant experience, or an equivalent combination of education, training, and experience.
Knowledge & Skills
- Familiarity with office practices and procedures.
- Proficiency in relevant software applications, including word processing, spreadsheets, graphics, and database management.
- Ability to engage effectively with marginalized individuals facing severe health challenges and substance dependencies.
- Strong verbal and written communication skills.
- Capacity to work independently as well as collaboratively with others.
- Effective planning, organization, and prioritization skills.
- Analytical thinking and problem-solving abilities.
- Adaptability to frequent interruptions and changing circumstances.
- Competence in performing relevant calculations.
- Ability to compile and organize information efficiently.
- Proficient in operating related office equipment.
- Strong business writing capabilities.
- Physical capability to fulfill the responsibilities of the position.
Work hours, including days off and work location, may be adjusted in accordance with operational needs and the provisions of the Collective Agreement and applicable regulations. Successful candidates may be required to undergo a Criminal Records Review Check.
