Role Overview:

We are in search of a motivated, detail-oriented, and dependable individual to join our Business Operations team. In this role, you will play a crucial part in ensuring the seamless functioning of our administrative processes, assisting with diverse projects as needed, and coordinating with service providers and management on operational matters. Your proactive approach and problem-solving skills will be essential in supporting our various departments.

Key Responsibilities:
  1. Managing the sorting and distribution of incoming and outgoing correspondence.
  2. Coordinating internal mail and package deliveries.
  3. Overseeing the procurement of office supplies and maintaining adequate inventory levels.
  4. Printing and assembling internal documentation requests, ensuring availability of frequently used materials.
  5. Preparing and mailing monthly statements.
  6. Maintaining organized filing systems and managing offsite document storage.
  7. Providing assistance on various projects for team members as required.
  8. Tracking contracts and organizing corporate documents in both electronic and physical formats.
  9. Addressing facilities-related requests and liaising with service providers.
  10. Ensuring the daily maintenance and supply of coffee machines.
  11. Managing building access and security fobs.
  12. Performing additional duties as assigned.
Qualifications:
  1. Dependable and responsible work ethic.
  2. High school diploma or equivalent.
  3. Preferred minimum of 1 year of experience in administrative roles, office management, or facility maintenance.
  4. Proficient in Microsoft Office Suite, including Excel, Word, and Outlook.
  5. Physical capabilities: Ability to lift up to 50 lbs, stand for extended periods, and navigate stairs frequently.
  6. Bilingual proficiency (English/French) is an asset but not mandatory.
