Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Professional Book Fairs. The successful candidate will provide administrative support to our team, ensuring the smooth operation of our events and daily activities.

Key Responsibilities
  • Event Planning: Assist in planning and coordinating seminars, conferences, and other events, including scheduling appointments and confirming details.
  • Communication: Answer telephone calls, relay messages, and respond to electronic enquiries in a professional and timely manner.
  • Data Management: Compile data, statistics, and other information to support business decisions and operations.
  • Reporting: Oversee the preparation of reports, including data analysis and presentation.
  • Supply Management: Order office supplies and maintain inventory levels to ensure efficient operations.
  • Travel Arrangements: Arrange travel, itineraries, and make reservations as needed.
  • Customer Service: Greet visitors, direct them to contacts or service areas, and provide general information about our company and services.
  • Document Preparation: Type and proofread correspondence, forms, and other documents to ensure accuracy and professionalism.
  • Data Entry: Perform data entry tasks to support business operations.
Requirements
  • Education: Secondary (high) school graduation certificate or equivalent.
  • Experience: 1 year to less than 2 years of experience in an administrative role or equivalent experience.
  • Computer Skills: Proficient in MS Office and other relevant software applications.
  • Personal Qualities: Ability to multitask, organized, team player, client focus, time management, and quick learner.
