Job Summary:

Mainstreet Equity Corporation is seeking a highly organized and detail-oriented Regional Administrator to join our team. As a key member of our operations team, you will be responsible for ensuring the smooth day-to-day operations of our residential properties.

Key Responsibilities:

  • Review and create budgets for capital renovation projects, ensuring timely completion and within approved budgets.
  • Assign projects to contractors and issue purchase orders, ensuring compliance with company policies.
  • Coordinate with regional managers to ensure timely completion of turnover inspections and meet deadlines.
  • Explore and obtain price quotes from vendors and contractors, ensuring best value for the company.
  • Coordinate with maintenance teams, including plumbers, electricians, and remediation specialists, to ensure timely completion of work orders.
  • Process expense forms and mileage submissions, ensuring accurate and timely reimbursement.
  • Create purchase orders and work orders for in-house trades and vendors, ensuring compliance with company policies.
  • Budget and place bulk orders to maintain inventory, ensuring optimal stock levels.
  • Deliver daily, weekly, and seasonal updates and reminders to ensure seamless operations.
  • Implement streamlined workplace processes, including electronic submissions and approvals.
  • Approve operations purchase orders on an hourly basis, ensuring timely and accurate processing.
  • Process invoices and ensure all purchase orders are received, enabling accurate accounting and payment processing.
  • Create a monthly on-call schedule with regionals, ensuring adequate coverage and timely response to work orders.
  • Follow up with on-call work orders from the previous night, ensuring timely completion and accurate information sharing.
  • Track inventory levels, providing and collecting inventory sheets from the warehouse, and submitting them to the Excel spreadsheet.

Requirements:

  • Administrative experience in residential property management or similar settings.
  • Excellent communication, time management, and organizational skills.
  • Knowledge of property management administration and RTA an asset.
  • Excellent computer skills, including Microsoft Office.
  • Ability to work effectively in high-stress situations and adapt to multiple tasks with conflicting priorities.
  • Above-average problem-solving, negotiation, and conflict resolution skills.
  • Ability to successfully complete a security clearance.
