Position Overview

Reporting to the Associate Director of Annual Giving and Alumni Relations or the Manager of Philanthropy & Alumni Relations, the Philanthropy Program Coordinator plays a crucial role in executing and coordinating the philanthropy and alumni relations initiatives at Douglas College Foundation.

This position involves active participation in ongoing fundraising efforts, stewardship activities, alumni events, and the development of new initiatives that align with the Foundation's strategic objectives.

Key Responsibilities
  1. Fundraising and Alumni Relations Coordination:
    • Identify, cultivate, solicit, and steward a diverse portfolio of prospects, donors, and alumni in alignment with institutional priorities, particularly focusing on student support.
    • Implement recognition and stewardship programs for donors and alumni.
    • Process donations, invoices, pledges, receipts, and agreements efficiently.
    • Engage in continuous fundraising cultivation and stewardship planning.
    • Manage relationships with donors and alumni using the Raiser's Edge NXT database.
    • Track progress through dashboards and generate reports as needed.
    • Foster collaboration opportunities with other departments within the College.
    • Integrate institutional messaging into alumni and donor communications.
    • Coordinate the application and adjudication of Alumni Awards, including presentations at significant events.
    • Represent Douglas College at alumni and community events to enhance its positive image.
    • Assist in managing business relationships and affinity programs.
    • Support fundraising targets through alumni events and affinity initiatives.
    • Collaborate with the Philanthropy team to identify alumni with potential for support.
  2. Program Activity Coordination:
    • Utilize various resources to identify and research potential donor and alumni prospects.
    • Participate in departmental strategy sessions and meetings.
    • Assist leadership in identifying emerging philanthropic opportunities.
    • Prepare briefing notes, plans, and reports for the leadership team.
    • Develop approaches for engaging prospects and provide updates based on meeting outcomes.
    • Support the planning and execution of special events for donors and alumni.
    • Coordinate annual fundraising campaigns with alumni and donors.
    • Establish evaluation criteria for alumni and student programs, analyzing results for continuous improvement.
  3. Administrative Coordination:
    • Stay informed about current fundraising practices and relevant legislation through ongoing education and professional memberships.
    • Monitor and maintain program budgets effectively.
    • Address inquiries and concerns from donors and alumni professionally.
    • Organize meetings, conferences, and events for donor cultivation and stewardship.
  4. Marketing and Communications Coordination:
    • Assist in developing the Alumni communications strategy, including managing the Alumni website and promotional materials.
    • Collaborate with the Communications Officer to produce e-newsletters and maintain current content.
    • Monitor alumni merchandise inventory and develop promotional materials.
    • Engage with local media and community partners to promote Alumni Relations events.
    • Participate in student orientation events to enhance alumni engagement.
  5. Additional Duties:
    • Collaborate with other departments to develop programs that keep alumni engaged.
    • Participate in Foundation events and strategic initiatives.
    • Perform other related duties as assigned.
Qualifications
  • Bachelor's degree in Communications, Marketing, Business Administration, or related field, along with relevant experience in fundraising.
  • Proven ability to manage components of a development plan effectively.
  • Demonstrated success in securing philanthropic gifts.
  • Strong relationship management skills with donors and volunteers.
  • Basic understanding of philanthropy in an academic context.
  • Experience in planning solicitation strategies.
  • Familiarity with Affinity partnerships or business development.
  • Ability to manage communication strategies that align with institutional priorities.
  • Experience with electronic marketing materials and webpage management.
  • Strong interpersonal skills and appreciation for diversity.
  • Excellent communication skills, both verbal and written.
  • Proficiency in Microsoft Office Suite and advanced technology skills.
  • Ability to travel and work flexible hours as needed.
