Position Overview

Reporting to the Associate Director of Annual Giving and Alumni Relations or the Manager of Philanthropy & Alumni Relations, the Philanthropy Program Coordinator plays a vital role in the execution and coordination of the philanthropy and alumni relations initiatives at Douglas College Foundation.

This position involves active participation in ongoing fundraising efforts, stewardship activities, alumni events, and programming, as well as supporting the development and execution of new initiatives that align with the Foundation's strategic objectives.

Key Responsibilities
  1. Fundraising and Alumni Relations Coordination:
    • Identify, cultivate, solicit, and steward a diverse portfolio of prospects, donors, and alumni, focusing on institutional priorities.
    • Implement recognition and stewardship programs for donors and alumni.
    • Process donations, invoices, pledges, receipts, and agreements.
    • Engage in ongoing fundraising cultivation and stewardship planning.
    • Manage relationships with donors and alumni, tracking interactions in the Raiser's Edge NXT database.
    • Monitor progress through dashboards and generate activity reports.
    • Foster collaboration with other departments within the College.
    • Integrate institutional messaging into communications and activities for alumni and donors.
    • Coordinate the application and adjudication of Alumni Awards.
    • Represent Douglas College at alumni and community events.
    • Assist in managing business relationships and affinity programs.
    • Support fundraising targets through alumni events and affinity initiatives.
    • Collaborate with the Philanthropy team to identify alumni who can support the College.
  2. Program Activity Coordination:
    • Utilize various resources to identify and research potential donor and alumni prospects.
    • Participate in departmental strategy sessions and meetings.
    • Assist leadership in identifying emerging philanthropic opportunities.
    • Prepare briefing notes, plans, and reports for the leadership team.
    • Develop approaches for engaging prospects and provide updates based on meeting outcomes.
    • Support the planning and execution of special events for donors and alumni.
    • Coordinate annual fundraising campaigns and crowdfunding initiatives.
    • Establish evaluation criteria for alumni and student programs, analyzing results and integrating improvements.
  3. Administrative Coordination:
    • Stay informed about current fundraising practices and relevant legislation.
    • Monitor and maintain program budgets.
    • Address inquiries and concerns from donors and alumni.
    • Organize meetings, conferences, and special events for donor cultivation.
  4. Marketing and Communications Coordination:
    • Assist in developing the Alumni communications strategy.
    • Prepare and distribute e-newsletters highlighting alumni stories and events.
    • Maintain the Alumni website, ensuring content is current and relevant.
    • Oversee alumni merchandise inventory.
    • Collaborate on promotional materials for Alumni Relations.
    • Engage with local media and community partners for event promotion.
    • Participate in student orientation events.
  5. Additional Duties:
    • Collaborate with other departments to enhance alumni engagement.
    • Participate in Foundation events and initiatives.
    • Perform other related duties as assigned.
Qualifications
  • Bachelor's degree in Communications, Marketing, Business Administration, or related field, along with relevant experience.
  • Proven ability to manage components of a development plan.
  • Demonstrated success in securing philanthropic gifts.
  • Strong relationship management skills with donors and volunteers.
  • Understanding of philanthropy programs in academic settings.
  • Experience in event coordination and implementation.
  • Excellent communication skills, both verbal and written.
  • Ability to work collaboratively and maintain professionalism.
  • Proficiency in Microsoft Office Suite and experience with fundraising databases.
