Job Title: Office Assistant

We are seeking a highly organized and detail-oriented Office Assistant to join our team at Randstad Canada. As an Office Assistant, you will be responsible for providing administrative support to our team, ensuring the smooth operation of our office, and maintaining a high level of customer service.

Key Responsibilities:
  • Provide front desk receptionist duties, including welcoming visitors, answering phone calls, and handling mail and packages.
  • Organize the sending and receiving of frozen food samples, including coordinating with vendors, receiving, unpacking, inventory, packing, sending, notification, and dry ice ordering.
  • Prepare monthly CAD and USD credit card statement reconciliations and invoice compiling using Excel.
  • Create new SAP item codes in SAPB1 ERP and confirm delivery of all courier packages sent.
  • Prepare waybills to send packages or documents by FedEx or West Island Express.
  • Order office supplies, maintain the stationary room, janitorial supplies, coffee supplies, and milk.
  • Review and approve related invoices, including FedEx, couriers, Denis, milk, and others.
  • Prepare Ministerial Exemption forms.
  • Scan original documents for LATAM and exports as received and send to the team.
  • Perform daily tasks, including emptying the dishwasher, running the dishwasher, emptying and wiping down coffee machines, maintaining sample room freezer inventory, and helping with office event and meeting catering.
  • Work-related administrative responsibilities for management, including tracking, filing, organizing, and preparing documents.
  • Coordinate building maintenance issues and interior plant watering.
  • Assist with Christmas decorations coordination and creative resources for marketing.
  • Filing for accounting as required.
Requirements:
  • Fluent in English (written and spoken) and professional in French (spoken), with the ability to communicate effectively.
  • Good computer skills and comfortable with Microsoft Office.
  • Strong organizational skills and attention to detail.
  • Independent worker.
  • Knowledge of SAPB1 ERP system is an asset.
