Position Overview:

The Medical Education Coordinator plays a vital role in the administration and coordination of the undergraduate medical curriculum. This position is integral to ensuring the smooth delivery of the Medical Degree program, focusing on the pre-clerkship phase of education.

Key Responsibilities:
  • Collaborate with senior staff to oversee the development and implementation of pre-clerkship units.
  • Utilize online tools for the distribution of program evaluation instruments.
  • Develop and maintain schedules, ensuring compliance with established templates and resolving any conflicts that arise.
  • Create individualized schedules for students, accommodating those on leave or requiring remediation.
  • Engage with internal and external stakeholders to ensure quality teaching spaces and resources are available.
  • Conduct weekly quality assurance checks to confirm that all curriculum materials are up-to-date and accessible to students and faculty.
  • Manage program evaluations using appropriate online management systems.
  • Maintain an in-depth understanding of Promotion, Assessment, and Appeal Regulations to guide students and faculty effectively.
  • Ensure adherence to established procedures and policies.
  • Draft and revise examinations in collaboration with Unit Heads, including managing deferral and supplemental assessments.
  • Compile preliminary examination results for review and feedback.
  • Facilitate debriefing sessions with Unit Heads to discuss successes and areas for improvement.
  • Coordinate and supervise student examination review sessions.
  • Develop and maintain a comprehensive examination question database.
  • Manage confidential information related to examinations and ensure the integrity of examination software systems.
  • Advise senior management on evaluation information management and system improvements.
  • Liaise with technical support for timely resolution of system issues.
  • Assist in the implementation of new processes and keep abreast of electronic trends in medical education.
  • Provide support to the leadership team and cover responsibilities as needed.
  • Prepare materials for accreditation processes.
  • Be available for evening and weekend exam supervision as required.
Qualifications:
  • Completion of a Business or Office Administration program.
  • A minimum of five years of relevant experience, preferably in a health education setting.
  • Strong organizational skills with the ability to make critical decisions.
  • Proficient in managing high volumes of correspondence from various stakeholders.
  • Exceptional attention to detail and proficiency in MS Office applications.
  • Familiarity with educational management systems is an asset.
  • Excellent communication skills and the ability to prioritize tasks effectively.
  • Experience in handling sensitive data in a confidential environment.
  • Knowledge of medical education programs is advantageous.
  • Ability to work independently with minimal supervision and demonstrate initiative.
