Position Overview

We are in search of a seasoned Proposal professional adept in all facets of proposal coordination. This includes leading kickoff meetings, managing complex pricing spreadsheets, and securing bid approvals. The successful candidate will be part of a dedicated Bids and Proposals team, responsible for orchestrating tailored bids and proposals in response to a range of domestic and international requests from government entities, original equipment manufacturers (OEMs), and end users. As a Senior Associate, you will be tasked with gathering and consolidating cost, scheduling, and performance data from various departments, ensuring the delivery of high-quality proposals for our advanced MX Series Electro-Optic / Infra-Red sensors, services, and system solutions.

Key Responsibilities

  • Oversee complex projects or processes with general guidance.
  • Acquire a comprehensive understanding of WESCAM's product portfolio and the Common Capture Process (CCP).
  • Analyze customer requirements for products and services, including Requests for Bid (RFB), Requests for Proposal (RFP), Requests for Information (RFI), and Requests for Quotation (RFQ).
  • Assess proposal requests and prepare for bid decision meetings as necessary.
  • Facilitate proposal kickoff meetings and develop proposal schedules while assigning team responsibilities.
  • Plan and manage proposal timelines, delegating tasks to the proposal team.
  • Chair meetings to discuss the status and address issues related to ongoing opportunities.
  • Coordinate the collection of cost, scheduling, and performance information from functional departments.
  • Utilize advanced Excel spreadsheets for capturing costing, pricing, and Basis of Estimates (BOE).
  • Manage custom proposal requirements, including Statements of Work (SOW), specifications, and compliance matrices.
  • Conduct informal reviews of bid/proposal documents prior to submission.
  • Generate concise and persuasive proposal text to complement team contributions.
  • Ensure timely responses from the proposal team and obtain necessary approvals following the WESCAM approval process.
  • Finalize proposals and prepare submissions for on-time delivery.
  • Provide support during post-proposal Q&A and negotiations.
  • Conclude the proposal process by documenting awarded information.
  • Identify and implement improvements in product and service proposal processes.
  • Assist with the Price Justification process, collaborating with Sales Finance and Contracts teams to ensure accurate and prompt responses to clients.
  • Work towards achieving both individual and departmental strategic objectives.

Required Qualifications

  • Proficient in MS Excel, MS Word, and MS PowerPoint.
  • Experience with CRM tools is advantageous.
  • Strong organizational skills and technical aptitude.
  • Exceptional writing abilities for crafting persuasive proposal content.
  • Excellent verbal communication skills for leading bid management meetings.
  • Meticulous attention to detail and the ability to prioritize tasks effectively.
  • Collaborative team player with the capacity to manage multiple tasks under pressure.
  • Willingness to work extended hours to meet proposal deadlines.
  • Strong communication and leadership skills to facilitate discussions with key stakeholders across various functions.

Educational Background and Experience

  • Practical knowledge of the job area is required.
  • A Bachelor's Degree with a minimum of 2 years of relevant experience is preferred.
  • A Graduate Degree or equivalent with 0 to 2 years of related experience is acceptable.
  • In lieu of a degree, a minimum of 6 years of relevant experience is necessary.
  • Experience in complex aerospace product sales or sales support is beneficial.
  • Participation in the Association for Proposal Management Professionals (APMP) at the Practitioner level is a plus.
  • Familiarity with the Shipley Business Development Lifecycle is advantageous.
