  • This role is based in Kingston.

What is the role about?

As a key member of the expanding RBC Royal Trust team, your primary focus will be on enhancing the Philanthropic Services division by delivering effective, precise, and high-quality client support. This innovative team within the Royal Trust framework provides a philanthropic solution that integrates wealth management with charitable giving strategies. You will be responsible for executing various financial tasks to ensure accurate tracking, processing, reconciliation, recording, and reporting of transactions associated with the management of a charitable public foundation, which plays a vital role in offering administrative and philanthropic support to donors, professional advisors, financial service providers, and charitable organizations. Success in this role hinges on teamwork, collaboration, and the ability to cultivate interpersonal relationships.

Key Responsibilities

  • Engage directly with investment advisors, associates, donors, and charitable entities to facilitate requests related to charitable gift fund and public foundation management.
  • Process monetary and securities donations in accordance with established policies and procedures, including grant disbursement requests.
  • Prepare follow-up documentation necessary for processing charitable gift transactions, grant requests, and ongoing fund management.
  • Assist in gathering, facilitating, and coordinating information and documentation to ensure that foundation operations and charitable gift fund management comply with program documents, relevant legislation, client requirements, company policies, and departmental goals.
  • Utilize technology effectively to enhance operational efficiencies and ensure proper documentation of all files.
  • Ensure client expectations are met by adhering to key deliverables and timelines.
  • Perform additional office, clerical, and support tasks as needed.

Qualifications

Essential Requirements

  • 2 to 5 years of relevant experience in estate & trust, charitable foundation, and general administrative processing preferred.
  • University degree or equivalent qualification.
  • Ability to work autonomously in a fast-paced, high-volume environment while meeting deadlines.
  • Strong attention to detail and effective multitasking abilities.
  • Experience in client or donor servicing, ideally within a financial services institution or charitable organization.

Preferred Qualifications

  • Proficiency in French, both spoken and written, is an asset.
  • Previous experience in the charitable sector is advantageous.
  • Experience in administration within a wealth management firm is beneficial.
  • Comfortable working within process-driven tasks and as part of a multidisciplinary team.
