Job Summary

We are seeking an experienced Administrative Support Specialist to provide high-level administrative support to the Senior Executive Assistant to the Provost at Saskatchewan Polytechnic. The successful candidate will be responsible for coordinating day-to-day administrative duties, managing sensitive and confidential issues, and providing strategic support to the Senior Executive Assistant.

Key Responsibilities

  • Manage and coordinate day-to-day administrative duties and support for the Senior Executive Assistant's office.
  • Support the Senior Executive Assistant's office's front-line contact with various stakeholders.
  • Coordinate and compile necessary materials in preparation for meetings and events.
  • Research, draft, review, and coordinate reports, proposals, communications, and presentations.
  • Manage and coordinate file and electronic information and retention systems.
  • Provide strategic support to the Senior Executive Assistant by cooperating in the creation of the office's annual plans and projects.
  • Assist in coordinating new proposals and projects throughout the year.
  • Provide assistance as needed for various large or complex projects within the Senior Executive Assistant's office.
  • Build and maintain effective relationships among the office of the Senior Executive Assistant and other senior managers.
  • Provide effective interaction with various external stakeholders, including government representatives, educational institutions, business, and industry.
  • Update and inform the Senior Executive Assistant on budget matters by tracking and reviewing budgetary items.
  • Provide financial and budget consultation to the Senior Executive Assistant.
  • Develop and coordinate large and small-scale event and meeting agendas, materials, invitations, and response lists.
  • Coordinate facility arrangements to ensure seamless presentation of events.
  • Manage budget for events.

Requirements

  • Post-secondary diploma or certificate from a recognized business program.
  • Minimum of five years experience in a senior level administrative position.
  • Strong organizational skills and budget management.
  • Experience at a large publicly funded institution is considered an asset.
