Position Overview:

The Client Support Specialist is tasked with delivering an outstanding customer experience. This role involves managing relationships with clients and insurance companies while providing comprehensive administrative assistance to the Repair Facility Team.

Key Responsibilities:

  • Ensure consistent implementation of the WOW (Wow Operating Way) strategy.
  • Coordinate vehicle repair appointments utilizing the Daily Demand Capacity Planner, CCC One scheduling system, and appropriate communication scripts.
  • Facilitate the prompt retrieval of insurance assignments and secure necessary repair authorization documentation for vehicle disassembly.
  • Compile the RO (repair order) work packet, which includes a QC (quality control) checklist, work order, parts list, and windshield tag for recording indicators.
  • Document all interactions with clients or insurance partners throughout the repair process using CCC One notes and selecting the correct communication type.
  • Verify car rental details and update CCC One with rental car usage information.
  • Oversee the ARMS (automated rental management system) daily to ensure all vehicles in the ARMS system are also recorded in CCC One.

Qualifications:

  • High School Diploma or GED (General Education Diploma) is required.
  • Minimum of 1 year of experience in a similar administrative role.
  • Preferred: 1 year of experience in an auto body or related environment, including prior customer service experience.

Essential Skills:

  • Ability to thrive in a fast-paced environment, demonstrating multitasking capabilities under pressure.
  • Strong attention to detail with a high level of accuracy.
  • Familiarity with general office equipment and basic computer skills, alongside excellent oral and written communication skills, strong sales orientation, and exceptional customer service.

Additional Requirements:

  • A valid driver's license is necessary.
