This full-time role encompasses a variety of duties that contribute to the smooth and effective functioning of our veterinary clinic. Your main focus will be to ensure that both clients and their pets receive a warm welcome and exceptional care.

Key Responsibilities:

  • Support veterinary professionals with diverse tasks and treatments.
  • Foster a friendly and inviting atmosphere for our clients and their pets.
  • Maintain a calm and low-stress environment for both clients and animals.
  • Perform general cleaning duties to ensure the reception and common areas are tidy.
  • Exhibit compassion and a nurturing demeanor.
  • Stay composed in high-pressure situations and adapt to evolving circumstances.
  • Efficiently manage tasks independently.
  • Proactively complete daily responsibilities.
  • Possession of a Veterinary Assistant (VA) or Veterinary Office Assistant (VOA) program certificate is advantageous.

Additional Duties:

  • Manage a multiline phone system, scheduling and tracking appointments effectively.
  • Conduct follow-up calls to pet owners for appointment confirmations and future bookings.
  • Handle email communications with clients, referring veterinarians, and internal messages.
  • Assist with the admission and discharge processes for pet patients.
  • Manage invoicing and billing, including creating estimates and processing payments.
  • Schedule appointments efficiently.
  • Demonstrate excellent customer service skills, creating a welcoming environment.
  • Exhibit strong organizational abilities.
  • Show a willingness to learn about veterinary services and updated office procedures.
  • Previous experience in customer service or front desk roles is a plus.
  • A love for animals is essential, even without prior experience.
