Job Summary:
We are seeking a highly organized and detail-oriented Operations Administrator to join our team. The successful candidate will be responsible for coordinating and organizing activities, meetings, and events within the office or facility. This role will also involve maintaining records, tracking location or fleet analytics, creating presentations, and providing administrative support to the Operations team.
Key Responsibilities:
- Coordinate and organize activities, meetings, and events within the office or facility.
- Maintain records, track location or fleet analytics, and create presentations.
- Provide administrative support to the Operations team, including mail, data entry, travel bookings, filing, and meeting support.
- Provide strong professional customer service to assist in resolving colleague questions or concerns.
- Answer telephone inquiries from internal and external customers.
- Maintain a high level of confidentiality.
- Manage all documentation and systems involved in the Payroll Process daily.
- Review various reports and compare against payroll for accuracy.
- Ensure hours are coded properly to General Ledger.
- Act as a Liaison for colleagues' issues; assist with solutions or direct to CIC, HR, etc.
- Complete New Hire & Termination Processes (paperwork, system set up, assist with e-paystub, ID).
- Implement changes to processes as per Company and Legislative requirements.
- Enter and track vacation entitlements and schedules.
- Compile and maintain reports as required (overtime, banked time, etc.).
Requirements:
- Completion of an office administration education program would be an asset.
- Previous administrative experience would be preferred.
- Previous payroll exposure would be preferred.
- Strong attention to detail is necessary.
- Computer system experience (MS Word, Excel, and Outlook).
- Exceptional organization skills would be an asset.
