Job Summary

We are seeking a highly organized and detail-oriented Conference Services Officer to join our team at Aramark Canada Ltd. The successful candidate will be responsible for coordinating and executing conferences, meetings, and events, ensuring seamless execution and exceptional customer service.

Key Responsibilities
  • Develop and implement risk management plans to ensure a safe and secure environment for events.
  • Promote conference and meeting services, including special events, to internal and external stakeholders.
  • Develop and monitor emergency security plans to mitigate potential risks.
  • Design and implement marketing and communication plans to promote events and services.
  • Develop and execute media strategies and public relations activities to enhance event visibility.
  • Recruit, hire, and supervise staff and/or volunteers to support event operations.
  • Prepare, present, and manage budgets for events and services.
  • Develop and implement financial procedures to ensure accurate and timely financial reporting.
  • Develop sponsorship, partnership, or fundraising programs to support event revenue.
  • Review bids and negotiate costs for event services and supplies.
  • Determine requirements for hospitality services, signage, multi-media equipment, printing, and other technical services, and arrange for and manage contracts for these services.
  • Arrange for production or purchase of promotional products and materials.
  • Coordinate shipping, receiving, and storage of event materials and supplies.
  • Assist in budget preparation and provide financial analysis and recommendations.
  • Assist in site selection and attend to related details, including logistics and coordination.
  • Coordinate media services, including audio-visual equipment and technical support.
  • Confirm and coordinate speakers, presenters, and performers for events.
  • Implement social programs, food and beverage, transportation, and other services to enhance the event experience.
  • Plan and arrange for accommodation and transportation services for event attendees.
  • Plan schedules, goals, and objectives for events and services.
  • Develop registration systems and information materials for events.
  • Plan for required documentation and pre- and post-distribution of documentation (itineraries, evaluations, etc.).
  • Research and design special events programs to meet client needs and preferences.
  • Plan for translation and interpretation services to ensure accessibility for all attendees.
  • Book facilities for office personnel and ensure a comfortable and productive work environment.
  • Plan for traffic and crowd control and security measures to ensure a safe event environment.
  • Plan for social events and guest programs to enhance the event experience.
  • Develop policies and procedures to ensure effective event management and customer service.
  • Develop and implement business plans to drive revenue growth and event success.
