About the Role

We are seeking a dynamic and experienced individual to join our team as the Infrastructure Coordinator. The successful candidate will be responsible for coordinating projects, strategic internal and external communications, financial analysis, preparation of reports and presentations, and providing administrative/organizational support to the General Manager.

The Infrastructure Coordinator will provide operational support to the four divisions within the Infrastructure & Municipal Works Department: Infrastructure Planning (Engineering and Traffic Services), Municipal Works (Roads, Water Distribution, Wastewater Collection, Parks and Landscape, Fleet), Environmental Services (Water Purification Plant, Wastewater Treatment Plant, Waste Management) and Transit.

Key Responsibilities
  • Provide support to the General Manager and Divisions to ensure high levels of interpersonal and office organization and efficiency.
  • Coordinate internal resources and third-party vendors to execute projects on time, within scope, and within budget.
  • Measure project performance using appropriate tools, develop spreadsheets, diagrams, and process maps to document project requirements.
  • Obtain and collate information regarding various projects within the department and compose internal correspondence on behalf of the General Manager and/or Infrastructure & Municipal Works.
  • Provide superior customer service by responding to inquiries from the public, developers, consultants, contractors, staff, and other departments.
  • Assist the General Manager in developing internal procedures, forms, and processes to ensure efficiency.
  • Assist in preparing council reports, by-laws, presentations, etc., as required.
  • Assist in preparing and monitoring the Infrastructure and Municipal Works capital and operating budgets.
  • Coordinate, assist, and prepare public outreach/presentation materials.
  • Provide assistance in responding to public inquiries, including monitoring Cornwall Connect, and ensure follow-up to address concerns in a timely manner.
  • Track all funding opportunities, progress of all projects, and assist with applications/reporting to ensure all documentation is submitted to the proper authority within specified timelines.
  • Undertake special assignments with limited instruction, including technical support, data gathering, summation, and report preparation.
  • Support the General Manager with special projects as required, including preparing reports, presentations, etc.
  • Assist the General Manager in responding to various inquiries, obtaining information, and following up with staff as necessary.
  • Support the department with various meetings with internal and external stakeholders by arranging times, preparing agendas, attending, taking, and circulating minutes.
  • Perform other duties as assigned.
Requirements
  • Post-secondary education in a discipline pertinent to the position (Engineering, Planning, Business, Finance, Communications, etc.) or equivalent combination of education and experience.
  • Three (3) to Five (5) years of experience in a related field. Municipal experience will be considered an asset.
  • Highly proficient in Microsoft Office Suite, with expertise in Word, Excel, and PowerPoint.
  • Extensive project management experience, encompassing the development, coordination, and management of both short-term and long-term projects and initiatives.
  • Proven ability to cultivate partnerships and balance a range of stakeholder interests within complex environments.
  • Exceptional organizational and customer service skills, with the ability to effectively support a team managing multiple projects and deadlines, while working efficiently with minimal supervision.
  • Demonstrated success in collaborating with a diverse range of stakeholders, including City staff, external agencies, private sector entities (developers, utilities, etc.), and community leaders.
  • Possesses highly developed interpersonal, human relations, political acumen, and conflict resolution skills, with the ability to communicate effectively, both verbally and in writing, across all organizational levels, as well as with the public, developers, and other professionals.
  • Proven experience in developing capital and operating budgets, including project planning, cost estimation, and performance measure management.
  • Excellent analytical and problem-solving skills.
  • Working knowledge of basic municipal engineering terms and principles as well as relevant legislation.
  • Demonstrates mature judgment in handling confidential and sensitive information.
  • Flexible and able to prioritize work in a fast-paced environment, working to deadlines.
Language

English and French (written and verbal) would be considered an asset.
