About the Role

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at Amity Migration and Naturalization Inc. as an Office Coordinator. This is a permanent position working 30 to 40 hours per week.

Key Responsibilities
  • Team Coordination: Coordinate the flow of information within the team to ensure seamless communication and collaboration.
  • Operations Management: Direct and control daily operations, evaluate daily operations, and plan and organize daily operations to meet business objectives.
  • Policies and Procedures: Establish and implement policies and procedures to ensure efficient and effective operations.
  • Record Keeping: Record and prepare minutes of meetings, seminars, and conferences, and maintain accurate records.
  • Office Administration: Determine and establish office procedures and routines, oversee the classification and rating of occupations, and schedule and confirm appointments.
  • Customer Service: Provide excellent customer service, answer telephone and relay telephone calls and messages, and answer electronic enquiries.
  • Reporting and Analysis: Compile data, statistics, and other information, and oversee the preparation of reports.
  • Supply Chain Management: Order office supplies and maintain inventory, and oversee payroll administration.
Requirements
  • Education: Secondary (high) school graduation certificate.
  • Experience: 1 to less than 7 months of experience in a similar role.
  • Language: English is the primary language of communication.
