Vintage Hotels is seeking a dedicated Full-Time Event Planning Specialist to become a vital part of our expanding Queen's Landing Team. This position offers an excellent opportunity for individuals with a background in event management to enhance their experience within our luxury boutique properties.

Key Responsibilities:

  • Assist in the orchestration of all event components, including catering, decor, and guest arrangements, under the supervision of the Special Events Manager (SEM) and Client Services Manager (CSM).
  • Provide exceptional customer service by responding promptly and professionally to inquiries from clients and stakeholders.
  • Oversee and verify the accuracy of client accounts.
  • Support the SEM in processing financial transactions and addressing client inquiries, particularly regarding billing matters.
  • Maintain financial documentation using accounting software and ensure that files and records are systematically organized.
  • Conduct meetings with clients to ascertain event goals, preferences, and budgetary constraints.
  • Facilitate site visits for potential clients, even in the absence of the SEM.
  • Foster and sustain client relationships through ongoing communication.
  • Review and input Sales Orders for clients, ensuring the accuracy of invoices.
  • Possess thorough knowledge of Vintage Hotels' offerings and services.
  • Assist the SEM with on-site event execution and address any issues that may arise.
  • Perform additional duties as assigned.

  • Previous experience in event planning or banquet services is preferred.
