Position Overview

This role involves supporting the financial operations of the institution by managing intricate financial details. The Lead Financial Records Specialist will analyze departmental expenditures and budgets, implementing enhancements to ensure precise and timely financial reporting.

Key Responsibilities

  • Conduct monthly reviews of financial ledgers, ensuring accurate tracking of project budgets, revenue, and expenses.
  • Oversee internal budget assessments and financial documentation for both standard and recovery programs.
  • Maintain comprehensive records of all project contracts, managing multiple ongoing projects effectively.
  • Verify that all contracts and purchase orders are properly coded and authorized.
  • Initiate and manage purchase orders and vendor applications using institutional systems.
  • Review departmental financial transactions for accuracy before processing payments.
  • Assist in budget preparation for departmental cost centers and disseminate financial information accordingly.
  • Prepare monthly journal entries and follow up on billing requests.
  • Utilize purchasing cards for necessary acquisitions and payments.
  • Monitor accounts payable and receivable, ensuring timely follow-up.
  • Coordinate financial support services across the region.
  • Compile and verify statistics for reporting, preparing monthly summaries.
  • Maintain organized records and files.
  • Engage with students seeking financial assistance, approving tuition deferrals as needed.
  • Provide backup support for other clerical functions as required.

Qualifications

  • Completion of post-secondary education in office administration, with additional accounting training, and a minimum of three years of relevant experience.
  • Proficient understanding of accounting systems and procedures.
  • Strong attention to detail and accuracy in all tasks.
  • Proficient in computer applications, particularly spreadsheets and accounting software.
  • Excellent organizational and communication skills.
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Capability to work independently and manage multiple tasks effectively.
