Position Summary:AECOM is seeking a Project Administrative Secretary to provide support for high-profile public transit initiatives in collaboration with our client, TTC. This full-time role will involve working at the TTC office in downtown Toronto periodically during the secondment, after which the employee will transition back to AECOM for reassignment to new projects. The home office can be either the AECOM Markham or Pickering office, with options for remote work.
Key Responsibilities:- Organize and manage daily operations within the department.
- Assist in creating documents, presentations, and reports for departmental use, ensuring timely distribution.
- Draft and edit correspondence and communication materials on behalf of the department, ensuring accuracy and professionalism.
- Coordinate with colleagues and external parties regarding routine administrative tasks under the guidance of department staff.
- Compile and verify data, ensuring accuracy and consistency in line with established protocols.
- Monitor and update records and information as necessary.
- Provide additional support to the department as required.
- Engage in special projects and initiatives as directed.
- Foster an inclusive and respectful work environment that promotes diversity.
- Deliver direct administrative assistance to senior project management and the project team.
- Manage critical project documentation through various approval stages and maintain organized files using the designated document control system.
Minimum Requirements:
- A University Degree in a relevant field plus four years of administrative experience.
Equivalent experience or education may be considered.
Preferred Qualifications:
- Experience in a project management setting, particularly with large-scale construction projects, is advantageous.
Candidates should possess the ability to:
- Communicate effectively across various platforms.
- Maintain accurate documentation and historical records.
- Plan and coordinate activities to achieve departmental and organizational objectives.
- Utilize office technology and software proficiently.
- Understand and apply administrative policies and procedures.
- Work collaboratively in a team environment with minimal supervision.
- This position does not offer relocation assistance.
- Sponsorship for Canadian employment authorization is not available.
