Job Summary:
The Intake Coordinator role at pt Health is the initial point of contact for clients and acts as a resource for key customers. As a member of the Customer Contact Centre team, this role is an integral position that assures pt Health is able to provide early treatment intervention and access for patients who require quality treatment services.
Key Responsibilities:
- Act as the initial point of contact for client companies, providing exceptional customer service and support.
- Accept and record new referrals within our client intake system, ensuring accurate and timely data entry.
- Verify information and coordinate assessment times with our network of clinics, ensuring seamless communication and coordination.
- Call clients & clinics and book appointments via the internal booking system, utilizing strong communication and interpersonal skills.
- Other responsibilities will include inputting and updating referral data and treatment plan statuses in the database, as well as providing support and assistance with monthly referral tracking reports and quarterly outcome reports.
Requirements:
- 2+ years of previous customer service/administrative experience, with a strong focus on customer satisfaction and retention.
- Bilingual French Preferred, with excellent written and verbal communication skills.
- Post-Secondary education is an asset, with a strong understanding of administrative procedures and protocols.
- Strong interpersonal skills to maintain customer relationships with client companies and patients, with a focus on building trust and rapport.
- Ability to prioritize under pressure, with a strong attention to detail and organizational skills.
- Strong computer skills, specifically in MS Word, Excel and aptitude for database software, with a focus on data entry and management.
- Exceptional organizational skills, work independently, take initiative and have a strong work ethic, with a focus on meeting deadlines and delivering results.
