Position Overview:

Under the supervision of the Logistics Manager, the Catering Administrative Assistant is responsible for organizing and maintaining all event orders, kitchen documentation, and logistics schedules. This role also involves the creation and upkeep of all signage and labeling materials for the catering team, ensuring that all administrative tasks are performed efficiently and promptly. The position will adapt to daily operational needs and requires a team member with exceptional communication abilities, a high level of computer proficiency, and a meticulous attention to detail in executing general administrative responsibilities.

Key Responsibilities:

  • Regularly updates and maintains kitchen documentation for all offsite events and catering deliveries.
  • Manages and revises necessary Banquet Event Orders, packing lists, event binders, and other essential documents for the Offsite Catering & Events Team.
  • Creates and maintains all signage, labels, tent cards, allergy templates, and menus required by the Catering Department.
  • Organizes the weekly catering schedule for the Logistics team.
  • Coordinates third-party courier bookings.
  • Handles basic invoice entry and prepares monthly petty cash reports.
  • Performs general office administrative tasks, including ordering supplies and maintaining the printer area.
  • Completes other assigned duties and responsibilities as needed.

Qualifications:

  • High School Diploma; Post-Secondary Education is a plus.
  • Previous administrative experience, particularly in hospitality or culinary settings, is advantageous.
  • Demonstrated ability to thrive in a team environment with self-motivation and a strong work ethic.
  • Excellent communication skills, emphasizing a hospitality-first approach in all interactions.
  • Proficient in IT and computer applications, particularly MS Office (Word, Excel, Outlook, and PowerPoint).
  • Outstanding time-management and organizational skills, with a keen eye for detail.
  • Ability to manage multiple tasks while maintaining a professional urgency and focus on priorities.
  • Exhibits a professional and mature demeanor.
