Position Overview:

As a key member of the Logistics team, the Catering Administrative Assistant plays a vital role in ensuring the smooth operation of event management and catering services. Reporting directly to the Logistics Manager, this position is responsible for organizing and maintaining all event-related documentation, including kitchen sheets and logistics schedules, while also creating necessary signage and labels for the catering team. The ideal candidate will possess exceptional communication skills, a high level of computer proficiency, and a meticulous attention to detail in all administrative tasks.


Key Responsibilities:
  • Regularly updates and maintains kitchen sheets for all offsite events and catering deliveries.
  • Prepares and organizes essential Banquet Event Orders, packing lists, event binders, and other critical documents for the Offsite Catering & Events Team.
  • Creates and maintains signage, labels, tent cards, allergy templates, and menus required by the Catering Department.
  • Coordinates the weekly catering schedule for the Logistics team.
  • Manages third-party courier bookings efficiently.
  • Handles basic invoice entry and submits monthly petty cash reports.
  • Performs general office administrative tasks, including ordering supplies and maintaining the printer area.
  • Undertakes additional duties and responsibilities as assigned.

Qualifications:
  • High School Diploma; Post-Secondary Education is an advantage.
  • Previous administrative experience, preferably in hospitality or culinary settings, is beneficial.
  • Demonstrated ability to work collaboratively in a team environment while also being self-motivated.
  • Excellent communication skills with a focus on a hospitality-first approach in all interactions.
  • Proficient in IT and computer applications, particularly MS Office (Word, Excel, Outlook, and PowerPoint).
  • Outstanding time-management and organizational skills with a keen eye for detail.
  • Ability to handle multiple tasks while maintaining a sense of urgency and professionalism.
  • Exhibits a mature and professional demeanor.
