Finance and Administrative Coordinator, College of Medicine

Primary Objective: To deliver administrative and financial reporting assistance to the Department of Pediatrics.

Job Overview: Reporting to the Finance and Administration Manager, this role will aid in departmental accounting and financial reporting tasks alongside administrative and operational responsibilities. This position engages with a varied group of individuals including faculty, staff, learners, other administrative units, and vendors. It necessitates exceptional interpersonal skills, meticulous attention to detail in maintaining records and correspondence, a high level of efficiency, prioritization, accuracy, and the ability to meet deadlines while exhibiting professionalism and confidentiality. The work environment is fast-paced, subject to multiple conflicting deadlines and priorities, with frequent interruptions.

Key Responsibilities:

Assist the Finance and Administration Manager in providing services to the entire Department Provide coverage for the Financial Coordinator and the Finance and Administration Manager as needed Collaborate closely with all department personnel and various support teams Aid in the preparation of financial reports and related documentation Investigate missing transaction details; track and follow up on action items Maintain electronic files to ensure audit compliance Identify, source, and ensure the delivery of IT and office equipment for new faculty Serve as the primary contact for onboarding new faculty members Act as the knowledge keeper of historical processes and policies Undertake additional tasks as required

Educational Background: Successful completion of a recognized post-secondary diploma relevant to the required duties. An equivalent combination of training and experience may be considered.

Professional Experience: A minimum of two years of related experience is required; preferably in a large, complex, and diverse organization. The ideal candidate possesses experience within both the University of Saskatchewan and the Saskatchewan Health Authority and is familiar with the clinical, academic, and research activities of the Department of Pediatrics. Administrative experience with some exposure to financial operations in a professional office environment is preferred. Direct knowledge and experience with University of Saskatchewan systems and functions would be advantageous. Experience working and collaborating in diverse and inclusive settings is essential.

Required Skills: Proven ability to operate in a high-volume environment and manage and prioritize multiple competing deadlines while maintaining meticulous attention to detail. Capability to recognize and implement changes that enhance process delivery. Ability to take initiative, be self-directed, and exercise diplomacy and creativity in resolving issues. Strong interpersonal and communication skills, including the ability to interact effectively with students, staff, faculty, healthcare professionals, and industry partners. Evidence of relationship building and the ability to work collaboratively within a team. Capacity to handle interactions with tact, discretion, confidentiality, and cultural sensitivity. Proficient computer skills, including familiarity with Microsoft Office, MedAccess, and various SHA systems are essential.
