POSITION SUMMARY

The Community Education Program Assistant plays a vital role in supporting the delivery of educational programs at Thompson Rivers University. This position involves a variety of administrative and coordination tasks to ensure smooth operations and effective communication.

DUTIES AND RESPONSIBILITIES
  1. Handles inquiries from students and clients, providing detailed information about courses, including any updates or cancellations. Manages communication through calls and emails, directing them to the appropriate personnel or taking messages as necessary.
  2. Facilitates course registrations and maintains accurate records using various internal software systems.
  3. Collaborates with the supervisor and other departments to aid in the planning and execution of educational programs.
  4. Works alongside team members to support workshops and programs by coordinating deliverables, ensuring the availability of materials, and managing shared resources.
  5. Prepares and maintains essential documentation, including course setups, class rosters, reconciliations, and completion requirements.
  6. Secures appropriate facilities and ensures that all necessary supplies and resources are in place for effective course delivery.
  7. Drafts a range of documents such as correspondence, contracts, evaluation summaries, and curriculum materials.
  8. Maintains the department's database, which includes statistical information on courses, instructors, contract agencies, and stakeholders.
  9. Establishes and manages both paper and electronic filing systems.
  10. Assists with financial reporting by tracking expenses and providing updates on course-related financials. Coordinates travel arrangements for instructors as needed.
  11. Maintains the department's web presence and assists with advertising efforts, both online and in print.
REPORTING STRUCTURE

This position reports directly to the Community Coordinator.

QUALIFICATIONS

EDUCATION:

  • Completion of Grade 12 along with a one-year Business certificate or equivalent.

EXPERIENCE:

  • A minimum of two years of relevant experience, including at least one year in program delivery and one year utilizing Microsoft Office and website software.

SKILLS AND ABILITIES:

  • Proficient in electronic word processing at a speed of 60 wpm and data entry.
  • Ability to interact courteously and tactfully with students, staff, and the public.
  • Effective verbal and written communication skills.
  • Competence in operating relevant equipment.
  • Fluency in database management, desktop publishing, spreadsheet, and word processing software.
  • Demonstrated ability to work independently as well as collaboratively within a team.
  • Strong organizational skills with the ability to prioritize tasks and meet deadlines while maintaining accuracy and attention to detail.
  • Possession of a Class 5 driver's license.
WORKING CONDITIONS
  • Primarily desk-based work involving computer use.
  • Frequent interaction with students, staff, and the general public.
  • Typical office environment.
  • Travel may be required.

The salary for this position is determined by the Collective Agreement with the Canadian Union of Public Employees, Local 4879.
