Job Summary:

Hospice Care Ottawa is seeking a highly organized and detail-oriented Donations Administrator to manage all aspects of donation and revenue processing. This includes processing financial donations, maintaining donor records, and providing administrative support at special events.

Key Responsibilities:

  1. Process financial donations in a timely manner and maintain accurate records.
  2. Prepare and disseminate charitable receipts as required.
  3. Update donor records in our database and ensure compliance with business rules.
  4. Archive tax receipts for audit and reference purposes.
  5. Prepare bank deposits and maintain financial records for the department.
  6. Provide donation administrative support at special events, including securing float and reconciling and banking after the event.
  7. Extract data segments for lists and provide donation information to the Finance and Fund Development teams.
  8. Support other administrative requirements of the Director of Fund Development and Communications and the Senior Leadership Team.

Requirements:

  1. 1-2 years' experience in administration, data entry, and/or donation processing.
  2. Post-secondary diploma or degree in a related discipline.
  3. Bilingualism (French and English) required.
  4. Strong interpersonal and customer service skills, and the ability to work independently and collaboratively.
  5. Ability to work in a demanding, results-oriented, fast-paced environment.
  6. Highly organized, independent, and self-directed.
  7. Excellent current skills and knowledge with software programs such as KEELA (or other donor database), Publisher, Excel, Word, and PowerPoint.

Reporting Relationship: Reports to the Director, Fund Development and Communications.

Position Status: Permanent, Full-time (37.5 hours per week).

Position Schedule: 37.5 hours weekly, 5 days worked; May require occasional evenings and weekends.

Compensation: $23.67 an hour. Eligible for Group Benefits (Health/Dental, Life Insurance & Disability) after 90 days. Eligible for paid personal/sick leave.

Location of Work: May Court Hospice.

Travel: May be required to travel within Ottawa-area to all Hospice Care Ottawa locations.

Language of Work: Bilingualism (French and English) required.

COVID-19: Proof of full COVID-19 vaccination is required and the ability to continue to comply with vaccination policy.
